Groups Operations Executive
A great opportunity to join our client who is currently looking to recruit a Groups Operations Executive to deal with all the Incoming services for UK and Ireland in the most effective and cost efficient way, and deal with all operational and follow up matters relating to the services booked, providing excellent customer service at all times.
As a Groups Operations Executive you will undertake an array of tasks & responsibilities:
• Receiving Inbound UK groups requests on a daily basis from the sales departments via in-house computer system, email or fax and prioritizing the work load according to deadlines, arrival dates etc
• Researching appropriate suppliers including the utilization of non-contracted suppliers wherever appropriate
• Contacting suppliers according to the sales requirements either by e-mail, fax or telephone to make a reservation
• Negotiating the best possible rates and conditions
• Providing suitable alternatives when required and negotiating possible compensations when hotels do not provide the standard of service required
• Replying to clients/prospective clients with in 48hours
• Dealing with amendments and cancellations
• Dealing with all operational matters once the group has been confirmed such as amendments, pax changes, rooming, pre-forma and follow up of cancellation and payments terms and conditions
• Dealing with inbound telephone, fax and email enquiries and liaising with Sales, Contract and Accounts departments
• Inputting financial data into systems and documentation as part of the Incoming Reservations procedures
• Focusing in maintaining good relationships with existing clients and obtaining new group business
• Dealing general administration duties required within the role
Groups Operations Executive Skill attributes:
• Fluent in English and French or Italian or Portuguese
• Previous relevant experience in Incoming Business role for UK and Ireland
• Strong communication, negotiation and client relationship management skills
• Good team player
• Stamina and persistence
• Ability to anticipate and solve problems - especially at the last minute
• Ability to work under pressure and to tight deadlines
• Financial awareness including budgeting skills
• Ability to organise and plan effectively and to prioritise tasks in order to manage multiple activities and meet deadlines
• A ‘can-do’ approach
